"Our pricing is based on a sliding-scale model because every project is unique. Factors such as plant quantity and size, rental duration, delivery logistics, labor requirements, venue access, maintenance needs, and overall project complexity all affect the final cost. This approach allows us to provide fair pricing while ensuring each client receives the appropriate level of service and support for their specific needs."

We can provide a fixed price, but to do so we would need to price for the worst-case scenario and include contingency costs for labor, transportation, venue logistics, and strike services. Historically, we have found it is fairer for clients to provide an estimate range and invoice based on actual services rendered rather than charging for contingencies that may never occur.

Up until the day of delivery, we work to ensure the highest quality plant material possible for our clients. Our sliding-scale pricing structure allows us the flexibility to source and procure the best available specimens from our grower network as inventory availability changes. 

1. Every project is different
A small office with a few plants requires far less time, transportation, maintenance, and inventory than a large hotel, wedding, convention, or estate property. A sliding scale allows pricing to reflect the actual scope of work.

2. Fairness for all clients
Rather than charging everyone the same rate, clients pay based on the size, complexity, and service level of their project. Smaller clients are not subsidizing larger projects, and larger projects receive appropriate volume pricing.

3. Transportation and logistics vary
Plant rentals often involve delivery vehicles, multiple crew members, venue restrictions, stairs, elevators, long carrying distances, setup requirements, strike (removal), and multiple trips. These costs can vary dramatically from one project to another.

4. Inventory value differs
A tabletop plant, an 8-foot Areca Palm, and a rare statement tree all represent different investments, risks, replacement costs, and handling requirements. Pricing will reflect the value and complexity of the inventory being reserved.

5. Labor requirements change
Some projects require a simple drop-off, while others involve staging, design, installation, maintenance visits, overnight monitoring, relocation between venues, or late-night strike crews.

6. Longer rentals receive better rates
Sliding-scale pricing rewards clients who commit to longer rental periods, recurring maintenance agreements, or larger quantities of plants.

7. Protects against unforeseen variables
Weather delays, venue access issues, schedule changes, damage risks, and additional labor requests can significantly affect costs. A flexible pricing structure helps account for these variables while keeping initial estimates reasonable.

8. Long-term Benefits
Clients who use multiple services—such as plant rentals, maintenance, floral design, event décor, landscape planning, or recurring furnishing programs—can often receive preferred pricing through the sliding-scale model.

Our goal is to provide transparent pricing while maintaining the flexibility needed to accommodate the unique requirements of each event, installation, or rental project.

In many cases, final service costs fall within the lower portion of the estimated range provided at the time of booking. However, actual charges may increase or decrease depending on the final scope, logistics, and services required.

At Plant Rentals Maui, we strive to provide clear, fair, and transparent pricing for every event, installation, and plant rental project. The price will never go above the highest quote. 

Plant & Tree Rentals
Plant and tree rental rates are based on the specific inventory reserved for your event or project. Once inventory is reserved, those items are removed from availability and held exclusively for your scheduled dates. Or in some cases we immediately source  request and incur immediate expenses. 

Delivery, Setup, Labor & Strike Services
Delivery, setup, transportation, maintenance, relocation, and strike (removal) services are quoted separately from plant rental inventory and may vary based on actual project requirements.

Factors that may affect final service costs include:

• Venue access and loading conditions 
• Distance between venues or service locations 
• Delivery and pickup schedules 
• Labor hours required 
• Vehicle and equipment usage 
• Late-night or early-morning service 
• Waiting time between setup and strike 
• Schedule changes or delays 
• Weather-related adjustments 
• Additional requests made during the course of the project 

Because every event and location is unique, logistics and labor charges may be provided as an estimated range. Final charges are based on actual services rendered.

Custom Projects & Scope Changes
Quotes are based on the information available at the time of proposal. Changes to plant quantities, event dates, venue locations, access requirements, timing, or project scope may result in revised pricing.

Deposits & Reservations
A deposit may be required to reserve inventory, vehicles, labor, and event dates. Once inventory and resources have been committed to a project, deposits are generally non-refundable.

Living Plant Material
Plants are living products and natural variations in size, fullness, shape, and appearance should be expected. Plant Rentals Maui reserves the right to substitute comparable or higher-value inventory when necessary due to availability, weather conditions, transportation considerations, or plant health.

Damage, Loss & Replacement
Clients are responsible for any loss, theft, excessive damage, or destruction of rental inventory while it is on-site, in their possession, or under the control of their guests, vendors, or venue.

Because flowers are perishable natural products and market prices can fluctuate, estimates are based on current availability and pricing at the time of proposal. Final costs may increase or decrease depending on flower availability, substitutions, client revisions, and the final scope of services requested.

At Plant Rentals Maui, our custom Maui-made gift bags, welcome gifts, and corporate gifting programs are priced using a sliding scale based on the scope, contents, customization, and services required for each order.

Every gifting project is unique. Some clients may require simple welcome bags with a few locally made items, while others request fully customized luxury gift experiences featuring premium Maui products, custom packaging, branded materials, and delivery services.

A sliding scale allows pricing to reflect the actual products, labor, sourcing, packaging, customization, and logistics involved in each order, ensuring fair pricing for projects of all sizes and budgets.

Factors that may influence pricing include:

• Number of gift bags or recipients 
• Product selection and contents

Gift bag pricing may vary based on product availability, vendor pricing, seasonal demand, shipping costs, and customization requirements. Estimates are prepared based on the information available at the time of quoting and may be adjusted if the scope or product selections change.

Our goal is to create thoughtful, memorable gifting experiences while supporting Maui artisans, small businesses, farmers, makers, and local brands. We work with clients to develop gifting programs that align with their vision, audience, and budget.

A non-refundable deposit is required to reserve event dates, rental inventory, floral products, custom gift items, labor, vehicles, equipment, and other resources associated with a project.

Upon receipt of a deposit, Plant Rentals Maui immediately begins reserving inventory, scheduling labor, coordinating logistics, sourcing products, securing vendors, and committing resources specifically for the client's project. We may also decline other booking opportunities for the reserved date(s).

For these reasons, all deposits are considered earned upon receipt and are non-refundable.

In the event of cancellation, postponement, reduction in scope, venue changes, or other client-requested modifications, deposits previously paid will not be refunded. Any credit toward a future project shall be solely at the discretion of Plant Rentals Maui and is not guaranteed.

Clients are responsible for reviewing all proposals, pricing, quantities, event dates, and project details prior to submitting a deposit.

Custom orders, special-order products, personalized items, fresh floral materials, and Maui-made gift products purchased specifically for a client are non-cancelable and non-refundable once ordered.

This policy protects the time, planning, inventory reservations, labor commitments, transportation scheduling, and financial resources invested in each project and allows Plant Rentals Maui to continue providing exceptional service to all clients.

By submitting a deposit, the client acknowledges and agrees to these terms.
